Organization and Administration Department

FUNCTION

The Organization and Administration Department of the College of Science and Technology has the following functions: advising and assisting the Rector on organizational structure, personnel work, regimes and policies of cadres, civil servants, and public employees and workers; The work of archival records, celebrations, emulation, commendation, and discipline of cadres, civil servants, public employees, and employees; Internal political security, social order and safety, and local military and defense work in the school.

The Organization and Administration Department at the College of Science and Technology fulfills a range of essential functions. These include advising and assisting the Rector in matters related to organizational structure, personnel affairs, and the regulations and policies governing cadres, civil servants, public employees, and workers. The department is also responsible for managing archival records, coordinating celebratory events, recognizing exemplary efforts, and ensuring discipline among cadres, civil servants, public employees, and staff. Moreover, it plays a vital role in maintaining internal political security, upholding social order and safety, as well as overseeing local military and defense initiatives within the institution.

Serving as standing members of Councils pertaining to personnel organization, administrative affairs, security and order, and local defense.

MISSION

  • Administrative Tasks and Archival Duties: Overseeing both outgoing and incoming correspondence; administering documentation using the institution’s document management software; coordinating the archiving of school-related documents, employment records, and pertinent paperwork; managing official seals and document issuance; monitoring the execution of administrative protocols; facilitating administrative processes for faculty and students, including verifying signatures, processing official directives, registering bus cards, etc.
  • Secretarial and General Tasks: Organizing the Board of Directors’ schedules; ensuring units adhere to school work regulations, plans, and Board of Directors’ directives; compiling regular and ad-hoc reports and statistics; serving as the focal point for receiving and delivering documents for Board of Directors’ endorsement.
  • Reception and Service Duties: Directing and overseeing units in reception tasks and conference arrangements; managing meeting spaces and logistical arrangements for school meetings; facilitating guest receptions for school leaders; overseeing official vehicle management and operation; organizing visits and visits to affiliated organizations.
  • Communication and Promotion: Coordinating, monitoring, and reporting media coverage and articles showcasing the school; composing articles and news for the school website; releasing Vietnamese-language school publications; reviewing banners, slogans, billboards, and other advertisements within the school premises.

 Management of facilities and equipment:

  • Asset management: Procuring and maintaining assets, tools, and equipment using  regular funding sources; supervising asset management, inventory, and liquidation; managing  electricity, water, and telephone systems.
  • Construction management: managing  operational buildings; coordinating renovations, upgrades  and new construction works.
  • Security and order, fire prevention, flood and storm control, and environmental sanitation.
  • Manage the system of lecture halls, classroom facilities, and live lecture systems.
